Dear Community Gardener,

Season’s Greetings and Happy New YearI am happy to inform you about a flurry of upcoming Community Garden activity and to update you on our progress so far.

With the help of many hands, some generous donations, and the Oxford Park Commission (OPC), we’ve made substantial progress in preparing the Community Garden.  We’ve planted two cover crops, built a fence, moved the shed into the garden, and begun laying paths.  After a few more work days and a couple of meetings, we’ll be ready to garden!  Thank you all for your enthusiasm and hard work! 

Besides continued work on the site, the next steps are to allow people to select a plot and pay their annual plot fee, to develop a set of rules for the garden, and to select a few folks willing to handle the day-to-day running of the garden (the Garden Committee).

You are receiving this letter because you registered for the garden through OPC.  I apologize that some aspects of registration have confused nearly everyone.  Here’s the scoop.  You already paid your one-time, $10 registration fee.  In addition, there is a $5 to $15 annual plot fee, depending on the size of the plot you wantIf you cannot pay this, please contact me for a plot waiver. The plot fee will help cover water costs, but we don’t want money to be an obstacle to anyone’s participation.  Conversely, if you can pay a bit more, that would be great.  Note that there will be a limit of one plot per family unless we have extra plots as of February 16th.  Once you have paid your annual plot fee and  signed the garden rules sometime in February (see below), you may begin gardening!  If you registered, but do not want a plot, please let me know ASAP so that the plot reserved for you may be assigned to someone else.

Important upcoming dates:

Monday, January 18th ( Martin Luther King, Jr. Day): we will have a “Day of Service at the garden, weather permitting (that is, if it isn’t raining or horrendously cold).  Work sessions will be from 10:00-12:00 and 1:00-3:00.  Suggested items to bring include gloves, a shovel or pitch fork, and maybe a hammer.  Other useful items include large cardboard (at least 4feet wide), a wheelbarrow, a sturdy tarp, and a step ladder.

Saturday, January 23, 2010: you can pick your plot, pay your fee (by check only –you can pay by other means at OPC), and attend our 1st Gardening Workshop with Linda Boyd, a local organic grower. Here’s the schedule:

9:30-10:15You have the option of picking your plot at the garden site

10:30-11:30Gardening workshop at the Oxford-Lafayette Public Library.

11:30-12:15:  Pay your plot fee, fill out a tad more paperwork, and if you did not pick your plot earlier in the day at the garden site, you may pick it now from the paper layout we will have at the library.  If you cannot attend, we will assign you a plot afterwards.

Wednesday, February 3, 2010, 6-8 p.m. at the Stone Center (across from the public pool): those who have a plot (or are responsible for a Community Harvest plot, i.e., a plot for charity) will meet to formulate rules for the garden and to select the Garden Committee.  Enclosed are sample rules from some other community gardens.  Please look these over before the meeting.  We don’t want any more rules than necessary, but a good set of basic rules is essential to avoiding major conflict in the garden.  Remember that if you want a say in how the garden operates, you need to participate in this process!!  If you cannot attend but have thoughts on the rules, you may send a proxy or let a board member know of your opinions.

By February 16, 2010, we hope to have the rules written down.  Once you sign a contract agreeing to abide by the rules, you may start gardening!  Yippeee!

Sometime later in the Spring, we’ll have an official opening day celebration.

A couple of other notes:

Communications. If you haven’t been hearing from us, it’s because we don’t have your correct email address, our emails are being rejected, or you don’t use email.  Please be sure to allow messages from oxfordcga@gmail.com.  We’re working on communicating better with those of you who don’t use email.  If you do use email but aren’t getting messages from OCGA, please email us, and include your phone number in case there is a problem.

Plot Sizes.  Plot sizes have changed slightly from those on the registration form.  Sizes are now 4’ x 8’, 10’ x 16’, and 16’ x 16’.  On the south side of the garden (nearest University Ave.), plots of each size are laid out if you’d like a better sense of the sizes.

Children’s Plots. To obtain a 3’ x 3’ child’s plot, an adult assuming responsibility for the plot must register with OPC and pay the $10 registration fee.  If you are getting a regular plot, that registration is sufficient.  If you are getting only a child’s plot, you must register with OPC.  Either way, you must fill out one additional form for each child’s plot when the plot is assigned. Forms will be available at the workshop on Jan. 23rd or afterwards at OPC. There is no annual plot fee for a child’s plot.
